Before you dial

Three things to know before you call.

Federal call centers are not built for short conversations. The borrowers who get the most useful answers are the ones who walk in prepared.

Have your numbers ready.

Loan number, business legal name, EIN, and the exact name on the loan documents. Reps cannot pull your file without identifiers.

Document everything.

Date, time, agent name, and a reference number for every call. If you call again later, this is the only way to continue the conversation.

When in doubt, hang up.

If you’re transferred more than twice, end the call and try again at off-peak times — early mornings or mid-week. Different agents give different answers.

After the call

The call ends. Your record begins.

Federal agencies don’t maintain the kind of contemporaneous notes that would help your case later. You do that work. Three habits make the difference.

Document immediately.

Before you do anything else, write down what was said, the agent name, the date and time, and any reference number. Save voicemails.

Send a follow-up email.

Same day. Reference the call by date and reference number. This is what creates a written record of what was discussed.

If answers conflict, call back.

Different agents give different answers. The third answer is usually the most accurate. The fourth tells you which one to trust.
